Surveys help you collect feedback from attendees after events. They can be sent automatically, linked to certificate issuance, and analysed through reports. This guide covers creating surveys, configuring delivery, and using survey data to improve your events.

Surveys vs Forms
Medtribe offers different tools for collecting information at different stages:

Creating Surveys
Step-by-Step: Create a Survey
- Navigate to your event
- Go to Surveys
- Click Create Survey
- Enter survey details:
- Name - Internal name for your reference
- Title - What attendees see at the top of the survey
- Description - Instructions or context for respondents
- Add questions (see question types below)
- Configure delivery settings
- Save the survey
Question Types
Choose from several question types to build effective surveys:

Question Settings
Configure each question with:
- Question Text - The question you're asking
- Help Text - Optional clarification shown below the question
- Required - Whether the question must be answered
- Options - For choice questions, the available answers
- Scale Range - For rating scales, the min/max values
Scheduling Survey Delivery
Control when surveys are sent to attendees:
Automatic Delivery

Manual Delivery
Send surveys manually when you prefer more control:
- Go to your session's Surveys tab
- Click Send Invitations
- Select recipients:
- All attendees who haven't completed
- Specific attendees
- Attendees who attended (based on attendance tracking)
- Click Send
Survey Invitations
When a survey is triggered, attendees receive:
Email Invitation
An email containing:
- Event name and session details
- Survey title and description
- Personalised link to complete the survey
- Deadline (if applicable)
Reminder Emails
Automatic reminders can be sent if the survey isn't completed:
- First reminder after X days
- Final reminder before deadline
Configure reminder settings when attaching a survey to a session.
Surveys and Certificates
Link survey completion to certificate eligibility for compliance or quality assurance:
How It Works
- Create a survey and attach it to a session
- Enable "Required for Certificate"
- Attendee completes the event
- Attendee receives survey invitation
- Attendee completes the survey
- Certificate is automatically generated and delivered
Certificate Eligibility Requirements
When "Required for Certificate" is enabled, attendees must:
- Have attended the event (based on attendance records)
- Complete all required survey questions
- Submit the survey within the deadline (if set)
Only after all requirements are met will the certificate be generated.
Partial Attendance
For multi-day sessions:
- Attendees marked as "Attended" or "Partially Attended" can receive surveys
- Your certificate requirements may differ based on attendance level
- Configure these rules in your certificate settings
Viewing Survey Responses
Response Dashboard
Access survey responses from your session:
- Navigate to the session
- Go to Surveys â Responses
- View the dashboard showing:
- Total responses
- Response rate (percentage of invitees who completed)
- Pending surveys (sent but not completed)
- Average ratings for scale questions
Individual Responses
Click on any response to see:
- Respondent name and email
- Submission date and time
- Answers to all questions
- Associated booking details
Summary Statistics
For choice and rating questions, view aggregated data:
- Distribution charts - How responses are spread across options
- Average scores - Mean rating for scale questions
- Most common answers - Mode for choice questions
Exporting Data
Export survey responses for further analysis:
- Go to Surveys â Responses
- Click Export
- Choose format:
- CSV - For spreadsheet analysis
- Excel - With formatting preserved
- Download the file
Exports include all questions, answers, respondent details, and submission timestamps.
Using Survey Templates
Create reusable surveys via the Templates feature:
- Go to Templates in your dashboard
- Create a Survey Template
- Build your standard questions
- Save the template
When attaching a survey to a session, select your template as a starting point. You can customise it for that specific session without affecting the template.

- Overall satisfaction (1-5)
- Would you recommend? (Yes/No)
- What did you like most?
- What could be improved?
- Trainer knowledge (1-5)
- Communication clarity (1-5)

Best Practices
Designing Effective Surveys
- Keep it short - 5-10 questions maximum for better completion rates
- Start with easy questions - Build momentum before asking for detailed feedback
- Use clear language - Avoid jargon and double-barrelled questions
- Mix question types - Combine ratings with open text for depth
- Make key questions required - But not every question
- Include one open-ended question - For unexpected insights
Improving Response Rates
- Send promptly - Within 24-48 hours of the event
- Set expectations - Tell attendees how long it takes (e.g., "2 minutes")
- Explain the value - Why their feedback matters
- Use reminders - One or two follow-ups for non-responders
- Link to certificates - Creates strong incentive to complete
- Keep your promise - Actually use feedback to improve
Analysing Feedback
- Look for patterns - Recurring themes across responses
- Compare over time - Track scores across multiple events
- Segment responses - Compare feedback by ticket type or session
- Act on insights - Create action items from feedback
- Close the loop - Tell attendees how you've improved based on feedback
Troubleshooting
Survey invitations not sending?
- Check the survey is attached to the session
- Verify the send timing settings (date hasn't passed, or is in the future)
- Ensure attendees have valid email addresses
- For automatic sending, confirm the session has ended (if sending "after session")
- Check attendees have bookings (not just reservations)
Low response rates?
- Send within 24-48 hours of the event
- Reduce the number of questions
- Make questions more relevant to the experience
- Send reminder emails
- Link completion to certificate delivery
- Check emails aren't going to spam
Certificate not generating after survey?
- Verify attendance is marked (survey completion alone isn't enough)
- Check all required survey questions were answered
- Confirm the certificate template is attached to the session
- Ensure the attendee meets minimum attendance requirements
- Check for any pending form submissions
Can't find responses?
- Check you're viewing the correct session
- Verify the survey was actually sent (check email logs)
- Attendee may have started but not submitted
- Check for filtering that might hide responses
